Who this policy covers
ClinicBot provides software for clinic accounts, patient messaging, appointment workflows and related administration. This policy covers information handled through the ClinicBot website and service.
When a clinic uses ClinicBot to communicate with its patients, the clinic decides what information it collects and why. The clinic is responsible for its patient-facing notices, permissions and instructions. ClinicBot processes information to provide the service to that clinic.
Information processed
Depending on the features a clinic enables, the service may process account and clinic details; clinic website content and information the clinic adds; patient messages and conversation history; appointment requests and appointment details; and subscription or billing status.
Patients should avoid sending information that is not needed for an administrative request. ClinicBot is not an emergency service and should not be used to request urgent clinical care or medical advice.
How information is used
Information is used to operate clinic accounts, answer routine administrative questions from clinic-provided information, support appointment conversations, display conversations to authorized clinic users, provide customer support, manage subscriptions, and maintain and protect the service.
The specific information involved depends on which channels and product features the clinic chooses to use. Clinics should configure the service to match their policies and should not connect channels or add content they are not authorized to use.
Service providers and messaging channels
ClinicBot relies on third-party infrastructure and service providers to host the application, process AI requests, deliver enabled messaging channels and handle subscriptions. The providers involved can vary by feature, account configuration and service changes. Contact us for current provider information relevant to your account.
When a patient chooses WhatsApp or another external channel, that channel’s own terms and privacy policy also apply to its use of the service.
Retention and deletion
Retention depends on the type of record, the clinic’s configuration and applicable service or legal requirements. ClinicBot provides clinic-level retention settings for certain records; there is not one universal retention period for every clinic account.
Clinic administrators should review their retention settings and applicable agreements. For questions about an account or a deletion request, contact the clinic that handles the patient relationship.

Access and privacy requests
If you are a patient, contact your clinic first about information in a clinic conversation or appointment record. The clinic can identify the applicable request and coordinate with ClinicBot when needed. Account owners may contact us about information associated with their ClinicBot account.
Cookies and account security
The authenticated parts of the service use browser cookies to maintain sign-in sessions and provide account functionality. Keep account credentials private and notify us if you believe an account has been accessed without authorization.
Changes and contact
We may update this policy as the service changes. The date at the top shows when this page was last updated. Questions about this policy can be sent to Rehan@getclinicbot.online.
